Submission of Dates for FEI rides
When an Organising Committee has made the decision to conduct an FEI ride the proposed date of the event must be sanctioned by the AERA State Management Committee in the State the ride is to be conducted.
Once the date has been granted to the OC by the State Division in which the ride is situated, the OC will then contact the AERA International Committee (AERA IC) Secretary, or the designated IC Calender person to have that date placed on the FEI calendar.
Calender Fees and time lines
There are fees applicable and payable to the FEI for placing FEI rides on the calendar, also there are Organising Fees due and payable following completion of the event. Both these amounts are requested to be paid by the AERA IC at the time the calendar fees are paid.
For information on the current calender fees it is advisable to contact the AERA IC Secretary, as these fees are subject to change .
Dates for proposed FEI rides must be submitted to the AERA IC Secretary or the designated IC calender person by September 1st of each year for the following year. Plenty of notification is usually given each year prior to the dates being submitted.
Submission of the Draft Schedule
A draft schedule of the event or if conducting more than one event at the same time, this must be included also. This is a multi page document which requires all the information pertaining to the proposed conduct of the event/s to be recorded. Enquiries to the designated AERA IC Committeeperson will obtain the current schedule pro forma plus help and advice on the filling in of these forms.
The Draft schedule is to be submitted to the Equestrian Federation of Australia (EFA) by the AERA IC designated Officer at least 8 weeks prior to the scheduled date of the event/s. This schedule is then approved by the FEI Endurance Dept with or without any changes, and returned as the Definite schedule.
Submission of Ride Results
A record of the ride results must be recorded on the special result sheets supplied by the FEI. These sheets are for computer entry only and require an experienced operator. The ride results musts be forwarded to the FEI endurance Dept within 2 weeks of the event, this is usually done by the TD who submits the TD’s report of the event at the same time. This also enables the result sheets to be checked for any errors that may have occurred.
AERA master sheets of the event must to be submitted to the State Registrars also .
